Booking terms and hotel information
This information is provided so that you have an accurate idea of the services that we offer and the terms under which we operate. Please feel free to contact us if you require further information or clarification.
Bedroom facilities
All bedrooms have satellite television, ironing facilities and hospitality tray. Some rooms have personal bars and we offer room service around the clock.
Disabled access
We are situated in a Grade II listed building with planning constraints which prevent us from being as accessible as we would like. Therefore, we do not go out of our way to advertise ourselves as being fully accessible to disabled guests. That said and by prior arrangement, we do have flat external access for wheelchair users to one adapted bedroom, to the hotel’s largest function room, restaurant and bar. For the most part, ambulant disabled guests will be required to negotiate half a dozen steps at our main entrance and at least one flight of stairs to our principal bedroom floor. Handrails are provided and we will of course offer all assistance necessary in making disabled guests welcome.
WiFi
Most of our bedrooms and all of our public areas have WiFi access. WiFi is complimentary for all hotel residents.
Smoking Subject to opening hours and whilst the law allows, guests are welcome to smoke in the hotel bar. Out of fairness to the next guest and to maintain our integrity as a clean and largely non-smoking establishment, please do not smoke in non-smoking bedrooms. It is usual for us to charge guests an extra night's accommodation if we feel we cannot re-let a room which smells of smoke after their departure.
Noise
We ask all guests to be considerate of other hotel residents. We also remind all guests that we are a village centre hotel and, whilst Castle Donington is a relatively quiet backwater, even a rural village is subject to a degree of street noise from pedestrians, vehicles and local festivals. Castle Donington is no noisier than any other village, but it is only fair that we warn light sleepers of the possibility of evening disturbance so that they can request off-street bedrooms or garden suites.
In-house dining
Donington Manor is a popular local venue for wining and dining, and is open to the public. Whilst we will always try hard to accommodate your needs, we do not set aside empty tables specifically for hotel residents and our outlets are occasionally reserved for private occasions such as wedding receptions. We therefore advise booking ahead - especially at weekends, if you do not wish to venture out, or if you have to plan children's meal times.
Diners with minors
Subject to opening hours, well-behaved children may dine with their parents or guardians at any time in our bistro, so long as they are seated and supervised. Under 18's are also permitted in our lounge bar until 7pm daily and thereafter at our discretion.
Guaranteeing your booking
Unless you have a corporate agreement with our company or an arrangement with your travel agent, your booking will be guaranteed to a credit or debit card. This means that you agree for us to charge that card in the event of late cancellation, non-arrival or charges unpaid at departure. We reserve the right to cancel without notice any booking which has been guaranteed to a credit or debit card which we subsequently find to be invalid or with insufficient credit. We will always ask to pre-authorize your card at check-in, so it is your responsibility to ensure sufficient credit to cover the duration of your stay and to input your PIN when requested.
Cancellation
Our deadline for cancellation of overnight accommodation without charge is 1400 hrs local time on the day prior to arrival - whatever the reason. We therefore advise all guests to check their travel insurance if there is a possibility of a trip being cancelled or postponed due to genuine family emergencies. Our cancellation deadline may be different for larger groups or for events and we will confirm this to you in writing. In the event of disputed no-show, we reserve the right to ask you for proof of cancellation in the form of a fax or e mail receipt, before considering waiving our usual non-arrival charge.
Early departure, or cancellation of part of your stay or event
The deadline for you letting us know about an earlier-than-expected departure date and avoiding a cancellation charge is 1600 hrs on the day prior to actual check out. Again, we advise guests to check the terms of their travel insurance if they are concerned about incurring such charges. To reduce the likelihood of an early departure charge, please do not book a lengthy stay where there is a possibility of curtailment of your visit.
Our terms for partial cancellation of an event will vary according to how much notice you provide. Full details will be given to you in writing at the time of booking.
Reconfirmation
We will most probably contact you prior to your arrival to reconfirm your reservation. You should therefore provide a telephone number on which we can contact you during the 48 hours prior to your check in. We reserve the right to cancel without notice any booking which cannot be reconfirmed and we advise all guests to let us know in writing if they will be un-contactable at any point.
Registration
When you check in, you will be required by British law to provide us with your home address for guest registration purposes. If you are a non-EU national, then we may ask to see your passport. For all guests, we reserve the right to ask you to confirm your identity with a driver's license or other form of photographic ID. By signing your guest registration card, you are agreeing to the room type, board basis and nightly rate printed on it.
Check in and check out
Check in is from 1400 hrs and departure time is by 1100 hrs. Occasionally, we may be able to accommodate an earlier check-in but this is subject to availability on the day and cannot be assured in advance. To guarantee an early check in guests are advised to pre-register from the day before. Late departures are by prior arrangement, subject to availability and may attract an additional premium. Guests wishing to drop off their luggage before their room is ready may do so. We cannot however always commit to storing guests' luggage beyond their day of departure.
Group bookings
Because of the small size and intimate nature of our hotel, we deliberately discourage large groups which may or may not be "hen nights" or "stag nights". As such, we reserve the right to ask bookers of large groups to take responsibility for the behaviour of their companions and to sign our Group Disclaimer - full details are available upon request. If we discover that guests in a group have deliberately booked individually in order to avoid detection or signing our Group Disclaimer, then we reserve the right to cancel bookings without notice or to demand an early check out (with the relevant early departure charges) if one adult does not take immediate responsibility for signing a Group Disclaimer.
Non-residents
Hotel guests may bring non-residents back to the hotel's bar or bistro for social reasons - although the actual number of accompanying guests allowed to enter our premises will be subject to our stated legal capacities, our published opening hours and our company door policy. For reasons of fire safety and out of respect for other guests, we do not allow non-registered guests to enter hotel bedrooms without prior permission from our Duty Manager.
Code of conduct
Donington Manor is a small, family-run hotel which places great emphasis on providing a pleasant and safe environment for its employees and patrons. As such, we reserve the right to ask any guest who is abusive, threatening or offensive to our staff or fellow guests to leave the hotel straightaway and incur any early departure charges which are relevant. Reasons for summary eviction include drunken behaviour, unreasonable demands, foul language, racist comments, suspected theft from the company or other guests, trespass in staff-only areas, wilful avoidance of agreed charges and suspected use of illegal substances - although this list is not exhaustive. All of our public areas are covered by a police-approved CCTV system which also records sound.
Damages
We reserve the right to invoice our guests for damage or negligent soiling caused to any parts of our premises, accidental or otherwise. Failing to tell us about damage to our property may result in higher-than-expected maintenance or cleaning charges.
Lost property
We draw guests’ attention to the Hotel Proprietors Act 1956 displayed in our hotel reception. The hotel cannot accept any responsibility for guests’ belongings which are left, lost or allegedly stolen whilst on the premises. We strongly advise guests travelling with valuables to check the terms of their insurance before leaving home. By prior arrangement and subject to availability, valuables may be deposited in the hotel safe.
Dogs
By prior arrangement and subject to a room supplement of £15 per night per dog, we welcome small lap dogs or miniatures as long as they are clean, well behaved, quiet and on a leash when in public areas. Dogs must not be left unattended at any time and, subject to opening hours, are welcome in lounge bar. We reserve the right to ask you to remove your dog from the premises if we receive a reasonable complaint from a fellow guest.
Parking
Subject to availability, guests may park free-of-charge within the hotel grounds. Castle Donington is a relatively crime-free village, but we always advise guests not to leave valuables in their cars and to leave glove boxes empty and open. The hotel cannot accept responsibility for damage caused to guests’ vehicles, howsoever caused.
